Accessing Recap on Desktop

Once a meeting concludes, the Recap information is automatically organized within Teams. You can find it in two primary locations:

  • From the Teams Calendar: Open your Calendar, double-click the past meeting entry, and select the Recap tab at the top.
  • From the Meeting Chat: Navigate to your Chat list, select the specific meeting chat, and click View Recap from the meeting summary card.

Accessing Recap on Mobile

You can review meeting insights directly from your mobile device while on the go.

  1. Open the Teams app on your mobile device.
  2. Tap Chat at the bottom of the screen.
  3. Select the meeting you wish to review from your chat list.
  4. Tap Recap at the top of the screen. If you don't see it, tap More and then select Recap from the list.

Note: On mobile, you can watch the recording, view AI-generated notes, and see the participant list just as you would on the desktop version.

Intelligent Recap Features (AI-Powered)

License Requirement: AI-powered features such as "AI Notes" and "Task Extraction" require a Microsoft 365 Copilot or Teams Premium license. Standard recaps will still include the recording and transcript.

If you have a supported license, the Recap tab provides the following AI insights:

  • AI Notes: View bulleted summaries of the most important discussion points and decisions.
  • AI Tasks: See a list of action items and follow-ups suggested by the AI based on the conversation.
  • Personalized Timeline: View markers on the recording progress bar showing when your name was mentioned or when a screen was shared.
  • Speaker Timeline: See who spoke and when, allowing you to jump to specific participants' contributions.

Standard Recap Features

For all recorded and transcribed meetings, the Recap tab provides access to core documentation:

Feature Functionality
Recording Playback Watch the full video of the meeting directly within the Recap pane.
Full Transcript Read the word-for-word record of the meeting. You can search for specific keywords to jump to that moment in the video.
Attendance View a list of attendees who participated in the call.
Shared Content Access files, links, and Whiteboards shared during the meeting in one list.

Critical Requirements

Transcription Must Be Enabled: AI-generated recaps and notes rely entirely on the meeting transcript. If the meeting was recorded but not transcribed, Copilot cannot generate summaries or action items.
  • Internal Meetings: Recaps are fully supported for meetings hosted within our organization. Features may be limited for external meetings.
  • Privacy: Meeting recaps are only visible to individuals who were invited to the meeting or have been granted access to the recording.
