Overview
If you are the organizer of a meeting, you can change the meeting details and send an update to the attendees. You can also send a meeting cancellation so that the attendees can remove the meeting from their calendars.
Cancel a Meeting that Occurs Once
- In Calendar, click on the meeting or appointment.
- Click Delete on the meeting or appointment tab.
- If you are not the organizer of the meeting, an option to respond to the organizer will appear. Choosing Send will alert the organizer that you have declined the meeting. Choosing Don't Send will delete the meeting without alerting the organizer.
- If you are the organizer of the meeting, choose the meeting you wish to delete and click Cancel. A window will appear for you to Send Cancellation to the meeting participants.
The meeting (including any meeting agenda, notes, and attachments) is deleted from Outlook.
Cancel a Meeting that Occurs in a Series
- In Calendar, click on the meeting or appointment.
- On the Meeting or Appointment Series tab, click Delete and choose Occurrence from the drop-down window.
- A confirmation screen will appear and ask if you want to send a notice to the organizer if the meeting was not organized by you.
- Click Send.
The meeting (including any meeting agenda, notes, and attachments) is deleted from Outlook.
Cancel All Meetings in a Series Before First Meeting Occurs
It is recommended that you only cancel an entire meeting series before any meetings have occurred. Canceling a meeting series removes all meetings — past and future. This includes any meeting agenda, notes, and attachments that you or the attendees have saved with the meeting item on the calendar.
- In Calendar, click any meeting or appointment in the series.
- In the Meeting or Appointment Series tab, click Delete and choose Series.
- You will get a confirmation screen.
- Click Delete to confirm.
The meeting (including any meeting agenda, notes, and attachments) is deleted from Outlook.
Cancel All Future Meetings in a Series
Updating the meeting series end date is the recommended way to cancel remaining meetings in a series. This process preserves instances of the meeting that have already occurred.
- In Calendar, click a meeting or appointment in the series and then click Edit Series, or just double-click any meeting in the series and click Edit Series in the meeting window.
- Once you click Edit Series, you will activate the Recurrence button, see below.
- End date: select By, and then enter a date after the last meeting in the series you want to keep.
You have successfully deleted all future meetings in a series.
