Using Teams with Sensitive Data

Summary

Learn where student records, HR information, and other sensitive data can go in Microsoft Teams, and how to keep it limited to the people who need it.

Body

Teams is an approved place for NCU information, including sensitive data. But who can see it depends on where you put it. Learn how to keep student records, HR information, and other sensitive data limited to the right people.

Where in Teams
Who can see it
Sensitive data?
One-on-one chat
You and the other person
OK, if they need it for their job
Group chat
Everyone in the chat, including people added later, who can usually see the history
Check who's in the chat first
Standard channel
Everyone on the team
Only if every team member needs it
Private channel
Only the channel's members
Good for a smaller group within a team
Team with guests
Includes people outside NCU
Avoid. Remove guests or use a different team

Good habits

  • Share a file with Specific people instead of posting it where the whole team can see it.
  • Check who's in a chat or team before you post. Membership changes.
  • Don't put Social Security numbers, card numbers, or health information in chat messages at all.
  • Turn off meeting recording when you're discussing an individual student or employee, unless you need the recording.
