How To: Take Meeting Notes in Teams

Summary

Add an agenda, notes, and follow-up tasks to a Teams meeting that everyone invited can see and edit.

Body

Meeting notes in Teams keep the agenda, notes, and follow-up tasks with the meeting itself. Anyone invited can add to them before, during, or after the meeting, and changes save automatically.

Add an agenda before the meeting

For a new meeting:

1

Open your Teams Calendar and select New.

2

In the meeting details, select Add an agenda.

3

Add an agenda, notes, or tasks, then send the invitation. Everyone invited gets the notes with it.

For a meeting already on your calendar:

1

Open your Teams Calendar and select the meeting.

2

If it’s part of a series, select View series to edit notes for the whole series.

3

Edit the agenda, or select Add an agenda if there isn’t one yet. Changes save on their own.

Notes added to a series show up in every future meeting in that series. Notes added to one meeting stay with that meeting only.

Take notes during the meeting

1

Join the meeting.

2

Select Notes in the meeting controls, or go to More actions > Notes.

3

Add to the agenda, notes, or tasks.

  • To keep notes open while you do other things, open the notes pane’s More actions menu and select Open in new window.
  • @mention someone to assign them an agenda item or task.

Find notes after the meeting

1

Open your Teams Calendar and select the past meeting.

2

Select Expand meeting details, then scroll down to the notes.

You can also open the past meeting and select View recap > Notes.

Who can see and edit notes

  • The organizer and anyone invited can start, view, and edit notes.
  • People in the meeting see changes live. After the meeting, everyone invited can see them.
  • People who weren’t invited directly may have limited access.
  • People outside NCU can’t see or edit meeting notes.

Microsoft recommends editing notes before or after the meeting from your Teams Calendar for the best experience.
