Technology Purchasing Guidelines

Learn how technology and software are purchased at NCU, including what OIT pays for, what your department pays for, how to order, and how long it takes.

Why everything goes through OIT

All technology and software for NCU is purchased through the Office of Innovation & Technology: computers, monitors, accessories, tablets, printers, classroom and AV equipment, network equipment, and every kind of software.

Buying through OIT is what makes it possible for OIT to support what you use:

  • Setup and support. OIT sets up, repairs, and supports what it buys. Equipment and software bought elsewhere may not be supported.
  • Warranty and service. Purchases go through OIT's vendors, so warranty claims, repairs, and replacements are handled for you.
  • Compatibility. OIT checks that new technology works with NCU's network, accounts, and systems before it arrives.
  • Security. Devices and software are vetted and configured to protect NCU data.
  • Inventory and replacement. Everything is tracked, so it can be maintained, replaced on schedule, and recovered when someone leaves.

  • Standard employee laptops and desktops
  • Standard peripherals that come with them
  • Classroom and learning space technology
  • Conference room technology
  • General student computer labs
  • Network and infrastructure
  • Computers beyond the standard models
  • Extra monitors, docks, adapters, and other accessories
  • Non-standard items, like a wireless keyboard in place of the standard one
  • Technology for specialized department labs, unless it's part of an OIT-managed capital project

OIT still selects, vets, and orders all of these, then charges your department.

Software

Software counts too, even when it's free

Check with OIT before you sign up for, download, or pay for any software, including:

  • Free apps and browser extensions
  • Subscriptions paid with a department card
  • Cloud services and AI tools

Anything that stores or touches NCU data needs a security and compatibility review first, no matter what it costs.

Submit a Technology/Accessory Purchase Request. OIT works with preferred vendors to get you a quote.

Always include a need-by date, especially for new hires or travel. For a new employee, submit the request as soon as the hire is confirmed so the computer is ready on their first day.
