Salesforce: Creating & Sharing Advising Notes

Learn how to create advising notes, share advising notes, and associate advising notes with records in Salesforce Student Success Hub.

Body

There are two different types of notes that you can create on a student record.

  • Public Note  - A public note can be viewed by anyone who has access to that type of record.
  • Private Note - A private note can only be seen by the person who added it to the record.

Creating a Public Note on any Student Record

STEP 1.

Open any advising record


 

 

STEP 2.

Click on the Notes section of the case record.

 

STEP 3.

Click New to start creating a new note.

 

STEP 4.

The note will open in the bottom right of the screen. Give the note a subject.

 

STEP 5.

Enter any details in the body of the note.

 

STEP 6.

Click Done.

 

Creating a Private Note on any Student Record

STEP 1.

Open any advising record

 

STEP 2.

Click on the Notes section of the case record.

 

STEP 3.

Click New to start creating a new note.

 

STEP 4.

The note will open in the bottom right of the screen. Give the note a subject.

 

STEP 5.

Enter any details in the body of the note.

 

STEP 6.

Click Add to Records at the bottom of the note.

 

STEP 7

Click Prevent note from being viewed by others users with access to this record.

 

STEP 8

Click Done.

 

The lock icon on top of the note will show the note is set to private.

 

Sharing a Private Note

Private notes can be shared with individuals or groups.

STEP 1

Click on Share on the note entry screen.

 

STEP 2

Click Share With to bring up a search/select box.  Add someone.


 

Private notes can also bee shared with groups.

 

Select a group.

 

STEP 3

Add a message to let everyone know why you are sharing the note.

 

STEP 4

Click Share.

 

STEP 5

Click Done.

 

The icon/text on the note will show that the note is private and shared.

 

 

Viewing Notes on a Record

Any notes that are private on only be seen in the list by the person who put the note there unless it is shared.
