How To: Use Headings in Documents and Emails

Learn how to use real headings, not just big or bold text, so everyone can find their way through your document, slides, or email.

NCU follows WCAG 2.1 Level AA, the same standard used in Accessible Forms Guidelines.

Why it matters

Screen reader users jump from heading to heading to scan a document, the same way sighted readers skim. Text that only looks like a heading, because it's bigger or bold, is invisible to them.

How to add headings

App
How
Word
Select the text, then choose Heading 1, Heading 2, and so on from Home > Styles.
PowerPoint
Give every slide a title in the slide's title box, and make each title unique.
Outlook
For longer emails, select the text, then choose a heading from Styles on the Format Text tab (or the formatting toolbar).

Tips

  • Use one Heading 1 for the main title.
  • Don't skip levels. A Heading 3 goes under a Heading 2.
  • Change how headings look by modifying the style, not by formatting each one by hand.

Quick check

  • ☐ Every section starts with a real heading style.
  • ☐ Headings are in order, with no skipped levels.
  • ☐ Every PowerPoint slide has its own title.
