Salesforce - Using the Salesforce Outlook Add-in

The Salesforce Outlook Add-in transforms your inbox into a student management dashboard, allowing you to view academic statuses, log critical correspondence, and access response templates without leaving Outlook.

Core Utility & Access

To ensure student data remains centralized, all university staff should use the add-in to link Outlook correspondence directly to Salesforce records. This creates a transparent history of student interactions across all departments.

The 360° Student View

The side panel provides immediate context before you reply to an email:

  • Academic Status: View Program, Start Term, and Enrollment Status.
  • Activity Timeline: See the last 3-5 interactions with other departments.
  • Open Cases: Check for existing support tickets to avoid duplicate work.

Logging Restrictions

To maintain data integrity, adhere to these logging prohibitions:

  • No Manual Opportunities: Do not create Opportunities (Applications) via Outlook; these are system-generated.
  • No Bulk Attachments: Uncheck irrelevant files (e.g., email_signature_logo.png) to keep the database clean.
  • No General Inbox Logging: You must select a specific email to enable the "Log Email" buttons.

Strategy: Recommended vs. Risk-Prone Logging

How you log an email determines how searchable and useful that data is for other departments. Proper linking ensures a student's entire academic journey is visible in one place.

Recommended (Active Record)

Student Contact + Opportunity

Benefit: Linking to the "Related To" Opportunity field ensures the email appears directly in their specific application file for admissions review.

Not Recommended (Passive/Vague)

Third-Party / CC'd Contacts

Problem: Logging against a CC'd parent or high school counselor alone makes the interaction invisible on the primary student record.

Maximizing Productivity

The add-in includes tools designed to reduce repetitive typing and help manage follow-up tasks directly from your inbox.

Feature Actionable Steps
Email Templates Open a new reply > Click Templates in the Salesforce panel > Search for standard responses > Insert.
Task Reminders Click Log Email > Check "Create a Task" > Set a due date. This syncs the email to your Salesforce follow-up list.

Troubleshooting Common Issues

  1. Panel Not Loading: If the panel is blank or spinning, click the Menu icon (three lines) and select Refresh.
  2. Missing Icon: On Desktop, look in the Home Ribbon. On Web, click the three dots (...) in the message header.
  3. Contact Not Found: If the panel shows "No records found," click the (+) icon to create a New Contact (never a New Opportunity).
