How To: Respond to a Meeting Invitation in Outlook

When someone invites you to a meeting, your answer lets the organizer know whether to count on you. Respond from the invitation in your inbox or from the meeting on your calendar.

Accept, tentative, or decline

1

Open the meeting invitation in your inbox, or select the meeting on your calendar.

2

Select Accept, Tentative, or Decline.

3

Add a message to the organizer if you want to, then send your response.

  • Accept and Tentative keep the meeting on your calendar.
  • Decline takes it off your calendar.

Propose a new time

1

Open the meeting invitation.

2

Select Propose new time, then choose I might attend or No, I won’t attend.

3

Pick a different time, then select Done.

4

Add a message if you want to, then select Send.

The organizer decides whether to change the meeting. You can’t propose a new time for a recurring meeting, and organizers can turn proposals off.

Good to know

  • Respond even if you can’t go. It helps the organizer plan.
  • If you can only make part of a meeting, choose Tentative and say so in your message.
