Using Scheduling Assistant to View Schedules and Availability in Outlook

Overview

Scheduling Assistant is a tool in Outlook that helps you find the best time to schedule a meeting by displaying times when a person is busy or free.

Using Scheduling Assistant on Outlook for Windows

  1. Open Outlook.

  1. Under Home, click New Items.

  1. Click Meeting.

  1. In the Meeting window, click Scheduling Assistant.

Using Scheduling Assistant on Outlook for Mac

  1. Open Outlook.

  1. Under Home, click New Items.

  1. Click Meeting.

  1. In the Organizer Meeting window, click Scheduling.

Using Scheduling Assistant on Outlook Web App

  1. Sign in to outlook.office365.com with your NCU credentials.
  2. Click the Calendar icon on the bottom left navigation bar.

  1. Click New Event .

  1. Add a title and invite attendees, then click Scheduling Assistant.

Key features of Scheduling Assistant

  • You will be able to view your current obligations and meetings/appointments on the Scheduling Assistant screen. Availability will be listed as either Busy, Tentative, Out of Office, No Information, or Outside of working hours.
  • Use the Add Attendees section to add more people or entities to the meeting(s).
  • Use the Options button to configure Scheduling Assistant to Show Only My Working Hours, Show Calendar Details, and to Refresh Free/Busy.
